How Do You Respond to a Google Review?

A good review reply is short, specific, and written for two readers: the customer who left it and every future customer who reads it before deciding to call you. Use this structure:

  1. Thank them by name. Use their first name if the review shows it.
  2. Mention one specific detail from the review, so it is obvious a person read it.
  3. Add one useful fact (a change you made, a service they might like next).
  4. Close with an invitation to come back, and sign with a real name.

On Google, you reply from your Business Profile. Replies are public and show your business name, so write as if a future customer is reading, because one is.

How Do You Reply to a Negative Review?

Negative reviews are where replies matter most. Prospective customers expect the occasional bad review; what they are checking is how you handle it.

  • Do not argue in public, even when the review is unfair. A calm reply makes the business look reasonable.
  • Acknowledge the specific problem and apologize for the experience, without a paragraph of excuses.
  • Take it offline: give a phone number or email and a name to ask for.
  • Do not offer compensation publicly unless you are happy to offer the same to everyone who reads it.
  • Never confirm private details. Healthcare, legal, and financial businesses in particular should not confirm that the reviewer is a patient or client.

Should You Reply to Every Review, Even the Positive Ones?

Yes, where you can. A short thank-you on a 5-star review costs you a minute and shows that the business is active and paying attention. Google's own Business Profile guidance encourages businesses to reply to reviews. Vary your wording: twenty identical “Thanks for the kind words!” replies read as automated.

Keep replies brief. Two to four sentences is enough for most positive reviews.
