What Are Customer Service Response Templates?

Response templates (also called canned responses or saved replies) are pre-written answers to the questions your business gets over and over: “How much does it cost?”, “Are you open Sunday?”, “Where is my order?”. They save typing, keep answers consistent across your team, and make sure the important details (your refund window, your booking link) are never forgotten.

How Do You Write a Good Customer Service Reply?

  • Answer the question in the first sentence. Context comes after the answer, not before it.
  • Match the channel. A WhatsApp reply should be two lines; an email can be a short paragraph.
  • Acknowledge feelings on complaints before explaining anything. “I'm sorry your order arrived late” comes first.
  • End with one next step: a link, a question, or what happens next and when.
